Webinar registrations are a specific conversion goal with a specific urgency: the event has a date. Popups with countdown timers are one of the most effective tools for filling webinar seats, and the combination of urgency + social proof ("247 people registered already") is particularly powerful. Here's the full setup.

The Popup Strategy Timeline

Start promoting your webinar via popups 2–3 weeks before the event. Earlier than that and most visitors haven't thought about their schedule yet. Later than a week out and you've missed the bulk of your organic traffic opportunity.

2–3 weeks out: Awareness phase. A scroll-triggered popup (50% scroll depth) on your blog and resource pages: "Free webinar: [specific topic] on [date]. Reserve your seat." No countdown yet — just building the list.

1 week out: Urgency phase. Add a countdown timer to the popup. "7 days until [webinar title]." Switch from scroll-triggered to exit intent on your highest-traffic pages.

Day before and day of: Maximum urgency. "Webinar is tomorrow" announcement bar site-wide. Exit intent popup on all pages with "Today at 2pm EST — still a few seats left."

Social Proof in Webinar Promotions

Live registration counts work well for webinar promotion, especially for events with established audiences. "347 people registered" in your popup copy creates FOMO and suggests the event will be valuable.

For new creators without established attendance numbers, use proof from past events: "Last webinar had 500 attendees and a 4.9/5 rating." Even without a historic large following, specific proof from what you do have is more credible than vague claims.

Speaker credibility also drives registrations. If your webinar features a recognizable expert or guest, lead with their credentials: "Join [Name], [credential], for a live session on [topic]."

Post-Registration Confirmation Popups

The post-registration experience matters for show-up rate. After someone registers, most platforms send a confirmation email — but you can also show a popup immediately on the thank-you page: "You're registered! Here's what to do next..." with three bullet points and a calendar add button.

People who add the event to their calendar show up at 2–3x the rate of people who only have the email confirmation. Making calendar add the default post-registration action (via the popup, not buried in the confirmation email) meaningfully improves your attendance rate.

Also consider a "share with a colleague" nudge in the confirmation popup. Webinar promotion via referral from registrants is one of the highest-quality acquisition channels available — if the topic is relevant to their network, they'll share it without much prompting.
